Privacy & Cookie Policy

This policy explains what information we collect when you visit hishotelsystems.com or request a quote, how we use it, the cookies we set, and the choices and rights you have.

We keep this simple. We collect very little, we use a few cookies to understand how the site is performing and how our advertising works, and we never sell your information. You stay in control of the non-essential cookies through the banner on this site.

1. Who we are

Hotel Intelligence Services ("HIS", "we", "us" or "our") provides operations software and standard operating procedures for hotels, resorts, lodges and conference venues. We are based in Pretoria, South Africa, and serve clients across Africa, the Middle East, Europe and the United States.

For any privacy question, or to exercise any of the rights set out below, contact us at hello@hisintel.co.za. We are the responsible party (data controller) for the information described in this policy.

2. What this policy covers

This policy applies to the HIS marketing website and the quote and contact forms on it. It does not cover the operational data held inside the systems we license to a property. Those systems are installed on the client's own server, and the client controls that data. If you are an end user of an installed HIS system, please refer to your property's own privacy notice.

3. Information we collect

Information you give us

When you complete the quote or contact form, you choose what to share with us. Typically this is your name, your email address, your property or company name, and the message or requirements you send. You do not need to create an account, and we do not ask for payment details on this website.

Information collected automatically

When you browse the site, limited technical information may be collected through the cookies and tags described in the next section. This can include your approximate location, device and browser type, the pages you view, and how you arrived at the site. This information is used in aggregate to measure performance and is not used to identify you personally.

4. Cookies and tracking

A cookie is a small text file stored by your browser. We use a small number of them, and we group them into two kinds.

Essential. A single record of your cookie choice (stored in your browser as his-consent) so we remember whether you accepted or declined, and do not ask again on every page. This is always active because the site cannot remember your preference without it.

Analytics and advertising. These only load after you select Accept on the cookie banner. If you decline, or simply ignore the banner, they are not loaded and no analytics or advertising cookies are set. We use Google Consent Mode v2, so consent is the default-denied state until you choose otherwise.

Changing your choice

You can change your mind at any time. To be asked again, clear this site's stored data in your browser settings (which removes the his-consent record), then reload the page and the banner will reappear. You can also block or delete cookies entirely through your browser's privacy settings, and you can opt out of Google's advertising personalisation at adssettings.google.com.

5. How we use your information

  • To respond to your quote or contact request and to follow up about it.
  • To understand how the site performs and improve it.
  • To measure whether our advertising is working, so we spend sensibly.
  • To keep records of our communications with you for as long as we are in contact.

We do not use your information for automated decision-making that has a legal or similarly significant effect on you.

6. Our legal basis

We rely on your consent for analytics and advertising cookies, which you give through the banner and can withdraw at any time. We rely on our legitimate interest in operating and improving the website, and in responding to enquiries you send us, for the basic handling of a message you choose to submit. Where you submit an enquiry, that handling is also necessary to take steps at your request.

7. Sharing your information

We do not sell your personal information. We share it only with the service providers that make the website and our measurement work, and only to the extent needed:

  • Google (analytics and advertising measurement).
  • LinkedIn (advertising measurement).
  • Our website and email hosting provider, which stores the messages you send us.

We may also disclose information if required by law, or to protect our rights, safety or property.

8. International transfers

Some of the providers above are based outside South Africa, including in the United States and the European Union, so your information may be processed in those countries. These providers operate under their own data protection commitments and safeguards. By accepting the analytics and advertising cookies, you understand that the related information may be processed in these locations.

9. How long we keep it

We keep enquiry messages for as long as we are reasonably in contact with you about your request, and for a sensible period afterwards in case you return. Analytics data is retained in aggregated form according to the standard retention settings of the analytics provider. We do not keep personal information for longer than we need it.

If you would like a specific enquiry deleted from our records, just email us and we will remove it.

10. Your rights

Depending on where you live, you may have some or all of the following rights over your information:

  • Access — ask what information we hold about you.
  • Correction — ask us to fix anything that is wrong.
  • Deletion — ask us to delete your information.
  • Objection and restriction — ask us to stop or limit certain uses.
  • Withdraw consent — turn off analytics and advertising cookies at any time, as described in section 4.

To exercise any of these, email hello@hisintel.co.za. If you are in South Africa and are not satisfied with our response, you may lodge a complaint with the Information Regulator (South Africa). If you are in the European Union or the United Kingdom, you may complain to your local data protection authority.

11. How we protect your information

We use reasonable technical and organisational measures to protect the information you send us, including secure transmission and restricted access. No method of transmission over the internet is completely secure, but we take care to keep what we hold safe and to limit what we collect in the first place.

12. Children

This is a business-to-business website and is not directed at children. We do not knowingly collect information from anyone under 18. If you believe a child has provided us with information, contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "last updated" date at the top of the page. Material changes will be made clear on this page.
